How do I register for the conference?
The easiest way to register is by using our secure online booking service with a credit or debit card. Alternatively, you can pay by bank transfer, cheque or you can ask to be invoiced.
How do I pay?
Cards: We accept Visa, MasterCard, Maestro and Solo. Please note that we do not accept American Express.
Cheques: These should be drawn on a Netherlands bank account and made payable to: KGS B.V. and posted with the booking form to KGS B.V., Park Hoortnwijck 37, 2289CZ Rijswijk, Netherlands. Please state your reference and name on the reverse.
To make a bank transfer, please call +31 643001954 for details. Alternatively, please use the details on your invoice.
You can also ask to be invoiced. If your company uses Purchase Order Numbers, please include this on your booking form, otherwise this may delay your booking process.
When should I pay for the conference?
Payment is due on registering for the conference or upon receipt of the invoice. If you have not paid for the event by the date of the conference, you will be asked to guarantee your payment with a credit card. Pre-payment is a requirement of entry and regrettably, you will not be allowed into the conference unless you have paid.
What is the booking confirmation process?
Please note: KGS B.V. reserves the right to decline any booking. Payment must be made in full before the date of the conference. Please bring proof of payment with you. A credit card guarantee will be requested for delegates who do not have proof of payment.
What happens if I have to cancel?
If you are unable to attend the conference, you are welcome to send a substitute delegate instead. Simply notify innoCos team of the new name, job title and contact details at email@example.com
Registrations incur a 50% liability once a booking has been made online, e-mail or post up to 21 days before the event. There will be no refunds for cancellations received 21 working days or less prior to the event. Delegate substitutions are permitted from the same company if the registered delegate cannot attend. To receive a 50% refund, KGS B.V. must receive your cancellation in writing by email or post. Can I send a colleague in my place?
We are happy to make a substitution for you at no extra charge. Please send the name, job title and full contact details for the person attending in your place. Please note, however, that substitutions made on the day of the conference itself are at the discretion of the organisers.
Can I share my place at the conference?
Two or more delegates may not ‘share’ a place at the conference. Please make separate bookings for each delegate.
I have two discounts I would like to use to register; can I use both of them?
No, we do not combine discounts but we will honour the best discount for you.
What happens if the conference is cancelled?
KGS B.V. will assume no liability in the event that this conference is cancelled, rescheduled or postponed due to a fortuitous event, Act of God, unforeseen occurrence or any other event that renders performance of this conference impracticable, illegal or impossible. For purposes of this clause, a fortuitous event shall include, but not be limited to: war, terrorist alert, fire, strike, extreme weather or other emergency.
In the unlikely event that KGS B.V. cancels the conference, you will receive a full refund. However, KGS B.V. cannot reimburse any travel, accommodation or other expenses under any circumstances.
I cannot make the date of the conference, can I still purchase the speaker presentations?
Yes, please call +31 643001954 or email firstname.lastname@example.org to purchase these. The distribution of presentation materials is subject to the speakers’ permission and are usually made available one week after the conference date.
THE VENUE & THE CONFERENCE DAY
How do I get to the venue?
You should receive the direction to the conference venue in welcome email. If you have any questions, email to email@example.com
What about accommodation?
The cost of overnight accommodation or any travel is not included in your registration fee.
Are all meals and refreshments included?
Yes, all refreshments and lunch is included. Please email firstname.lastname@example.org if you have any special dietary requirements, other than vegetarian, which is included as standard. Please see the conference programme for specific timings for the refreshments and networking breaks.
What should I wear?
The dress code is business casual.
What do I need to bring with me?
Please bring your booking confirmation with you to the conference. We do not issue tickets for entry so your registration. You may find that having business cards with you for the networking sessions is also helpful.
What if I have special requirements?
If you have any particular requirements, disabilities, access, or any other needs we should be aware of, please do let us know when you register for the event. Alternatively, please email email@example.com
What happens if there is a venue change?
Very occasionally, we may have to change the venue of the conference due to refurbishments or issues with the venue itself. Should this happen, you will be personally notified and sent all of the relevant information for the new venue. Our conference website will also be kept up-to-date of any changes.
How many attendees will be at the conference?
This does vary, on average 60-80, you can ask our team onsite.
What happens if a speaker cannot attend?
Conferences are organised many months in advance of the conference itself and as the date of the conference approaches, sometimes we may need to make substitutions, alterations or cancellations of the speakers and/or topics. This is due to speakers being unable to attend for personal or business reasons and whilst we make every effort to find a direct replacement, sometimes this is not possible within the timeframes we are given and in order to allow any replacement speaker to sufficiently prepare a quality presentation. KGS B.V.reserves the right to alter or modify the advertised speakers and/or topics if necessary. Any substitutions or alterations will be regularly updated on the individual event sites.
The importance of recycling and living a more eco-friendly lifestyle has caught the attention of many people. We are the individuals who contribute to the condition the world now faces. We want to live in an eco-friendly environment but we need to be become more aware how each of us can make a difference as individuals.
We encourage you to work together with us to decrease the effects of our actions which are causing harm to our environment and eventually to us.
One of the simplest actions you can take is to offset your carbon footprint. This means that you can choose eco-friendly transportation to travel to the conference.

– If you use a taxi, please consider public transport, or share taxi with someone else.
You may notice that during the conference we will try to reduce the number of printed documents and all brochures and leaflets will be printed double sided on recycled paper. Our badges and lanyards will be made from biodegradable materials.
We hope that you share our views and will join our effort to support the eco-friendly life style. It may be that for some of you, this coming conference will be another part of your already eco-friendly routine, and for some, it can be the starting point on your way to saving the environment.
What conference materials will be made available on the day?
On the day of the conference, we will have a limited number of printed materials available to you.

The actual presentations will not be printed in the documentation pack as speakers often wish to update their presentations following questions and debates on the day itself and so will generally request that we publish the presentation after the conference. The presentations will be made available one week after the event from the password protected area of the conference website and will remain up there for six months. Please note that not all speakers provide us with a presentation and that not all speakers will give permission for their presentations to be distributed.
Are all of the presentations available on the web?
We ask all of our speakers for permission to share their which we will be sending to you with a link to download post-event. Not all of our speakers give us permission to do so, or indeed prepare written presentations. What we are legally permitted to publish online will be made available to you as soon as the speakers have released their updated versions. This tends to be within one week of the conference itself.
Will I receive a copy of the delegate list?
For networking purposes, the delegate list will be released on the day of the conference.

How do I register for a press pass?
Due to privacy and confidentiality issues, press
passes are not available at our conferences, except under exceptional circumstances. To enquire about any potential press pass, please email the marketing team on email@example.com
